What does practice management software actually cost?

Overhead is the number most physician-owners can quote off the top of their heads and do the least about. The Medical Group Management Association (MGMA) puts it at about 60% of a practice's revenue in a typical year, and the bulk of it lands in the same places every time: staff salaries and benefits, the lease, medical supplies and insurance. Those are big, fixed-feeling costs, which is exactly why they get treated as untouchable.
They aren't. In MGMA's own polling, the practices that held their costs flat in 2025 didn't do it by seeing fewer patients or cutting corners on care. They did it by right-sizing their teams, bringing billing back in-house, tightening inventory and renegotiating the contracts they'd stopped reading years ago.
